Office Assistant, SHARE Center, Salinas
ESSENTIAL DUTIES:
Answers telephones; records and distributes messages
Ensures that the telephone and front desk are covered at all times
Receives, logs and distributes faxes as received and replaces fax paper as needed
Inventories, requisitions and orders office supplies as needed
Performs “mail runs” when needed
Coordinates maintenance persons in locating areas needing attention
Establishes priorities for task completion with Office Manager
Keeps conference room calendars for reservations for usage
Assists with photocopying, assembling and distributing program materials
Assists with filing
Creates any needed documents in the form of letters, memorandums, proposals or reports
Maintains confidentiality when dealing with staff and client matters
Opens, date stamps and distributes incoming mail
Provides excellent customer service and accurate program information to individuals inquiring about programs and services
Other duties as assigned
MINIMUM QUALIFICATIONS: The Office Assistant must be organized, self-motivated and exercise good judgment. Must be able to perform secretarial duties. Requires good office skills. Must have excellent written and verbal communication skills.
High school diploma or GED
Proficient in Microsoft Office
Ability to communicate effectively with clients, staff and medical professionals
Ability to take direction and work under general supervision
Ability to work effectively and responsibly in a professional setting
Ability to work effectively under stress and conflict
Ability to be flexible and adaptable in any given situation
Maintains boundaries with clients
Acts and dress professionally.
A valid CA Driver’s License.
Automobile Insurance.
CPR/First Aid Certification
TB clearance.
PHYSICAL EFFORT:
Physical, mental and emotional stamina to perform the duties and responsibilities of the position
Mental acuity to collect and interpret data, evaluate, reason, define problems, establish facts, draw valid conclusions, make valid judgments and decisions
Manual dexterity sufficient to write, use the telephone, computer, calculator and office machines at required speed and accuracy
Vision sufficient to read handwritten and printed materials and the display screen of various office equipment and machines
Hearing sufficient to communicate in person and hold telephone conversations in the normal range
Speaking ability in an understandable voice with sufficient volume to be heard in normal conversational distances on the telephone and addressing groups
Physical stamina sufficient to sustain light to medium physical labor for up to 8 hours, sit and/or walk for prolonged periods of time
Physical mobility sufficient to move about the work environment for sustained periods of time on hard flooring, climb slopes, stairs, ramps and to respond to emergency situations
Physical strength sufficient to periodically lift, carry, push and/or pull 40 pounds of materials or supplies; occasionally lift, carry, push and/or pull more than 40 pounds with assistance
Salary $47,240 – $57,420 per year D.O.E. Additional 5% if bilingual and biliterate in English and Spanish.
